Files

Learn how to upload, replace, and delete files.

You are able to upload, replace, rename, and delete files on the website. You also can create links on a page to each file.

Documents Folder

Your documents folder contains your files. If your website does not have a documents folder, please create one to store your files. 

File Types

To make your files easy to access, use the following file types:

  • .pdf - Adobe Acrobat PDF
  • .docx - Microsoft Word Document
  • .pptx - Microsoft PowerPoint Presentation
  • .xlsx - Microsoft Excel Spreadsheet

You are not restricted to these file types, but they are the ones most commonly used on the CNM site. 

File Name Conventions

When you upload a file, it will have unique URL. Make the URL name easy to read as human-readable text. For example:

  • fall-registration-schedule.pdf
  • student-request-form.docx
  • new-student-orientation.pptx

Avoid dating files. We want to make sure visitors can access the latest document.

File Tips

Keep your documents folder organized by following these tips:

  • Maintain a clean filename convention.
  • Remove duplicate file copies.
  • Remove outdated files, keeping only the most current one. 

Uploading Files

To upload a file, follow these steps:

  1. Select Contents from the side menu, then find and click on your documents folder.

  2. Select Add new... --> File from the side menu.

  3. Click the Browse... button to find/select your file, Open to attach it, and Save to upload it. 
    The Title and Description fields are optional.

When you upload your file, it is automatically published and publicly available.

Replacing Files

To replace a file, follow these steps:

  1. Select Contents from the side menu, then find and click on your documents folder. 
  2. Click on the the file that you want to replace. 
  3. Select Edit from the side menu. 
  4. Click Replace with new file. Then, click the Browse... button to find/select your file, Open to attach it, and Save to upload it.

Renaming Files

To rename a file, follow these steps:

  1. Complete steps 1-3 under the "Replacing Files" section of this page. 
  2. Rename the file by updating the text in the Title field.

  3. If you wish to also rename the Short name (the name that will displayed in the URL), go to the Settings tab and update the name in the applicable field. Click Save to save all changes.

Save Your Files

Deleting a file from the CNM website is not recoverable. If you need to keep a copy for archiving, download the file before deleting it.

Deleting Files

To delete a file, follow these steps:

  1. Select Contents from the side menu, then find and click on your documents folder. 
  2. Click on the file that you want to delete.
  3. Open your file, ensuring that you have chosen the correct file. If you are viewing your file correctly in Plone, the filename will appear in large text with the name/format of the file underneath it.

  4. Select State: Published --> Delete

    Note: If the file you attempt to delete is linked to other pages on the CNM site, the system will cite the pages that the file is referenced on. We strongly recommend going to these pages and removing the links before you delete the file. Otherwise, there will be pages with non-functioning links.

  5. Click the Delete button.
